Contacts Section

The Contacts section makes it easy for you to manage personal information for three different groups of people: Supporters, Staff, and Outreach lists.  “Supporters” is an inclusive category that represents all volunteers, donors, fans, and others that support your cause.  You can create unlimited Staff accounts within your organization, with customized roles and permissions for each.  Finally, Outreach Lists contain people that may be unknown to your organization (voters, old members, etc.) but that you’d like for your supporters to contact.

The Details...

Supporters

Supporters consist of volunteers, donors, and other fans of your organization.  Store all their information within V3 Platform, if you desire.  There are three easy ways to pull supporters into your database.  

  • Supporters can sign-up through any website in which you activate Engage Anywhere
  • You can manually add individual supporters.
  • Bulk import larger supporter lists.

 

To manually add individual supporters:

  1. Navigate to the Contacts page
  2. Click the "+Add Supporter" link
  3. You will be prompted to add a variety of information (only First Name / Last Name and Email Address are required)
  4. Select "Save Supporter" at bottom when finished

 

To import a new list of supporters:

  1. Navigate to the Contacts page
  2. Click on the the Supporters tab
  3. Click the "+Import Supporters" link
  4. Upload a .CSV file ("Comma Separated Value" file)
  5. Verify that your list contains supporters who have "opted-in" to receiving communication
  6. Specify whether you want these supporters imported into a specific team or group
  7. Attach a specific tag to all supporters on the list, if desired (Note: only one tag is permissable)
  8. Click continue
  9. Match the column headers from your file to the corresponding fields in V3.  The column headers of your CSV spreadsheet must be labeled accordingly.  (Currently, V3 Platform supports the following fields: Title, First Name, Middle Name, Last Name, Suffix, Email, Home Phone, Work Phone, Mobilize Phone, Address Street, Suite, City, State, Zip Code, County, Gender, Birth Date (mm/dd/yyyy), Company, Job Title, External ID, Email Subscriber, Tag, Note, and any involvement interests you've set up in the Basic Options section of Platform Config.)
  10. Click Continue
  11. Review the summary of the import that is about to be completed
  12. Click 'Finish import".  For large lists, allow up to 30 minutes for all supporters to appear in your system.  To ensure a clean import, please do not import consecutive lists before your previous list has finished.

Once your supporters are in V3 Platform mobilize them to complete your desired Actions

Staff

Staff are your most loyal supporters. Create unlimited staff accounts with customizable roles and permissions.  Change staff roles and permissions on the individual supporter cards.

 

To create new staff accounts:

  1. Click the "+Add Staff" button
  2. Provide First / Last Name
  3. Include the desired email address
  4. Set a password of your choosing
  5. Click "Create Staff" when finished

Outreach Lists

Outreach Lists are comprised of people that are not directly involved in your organization but who you'd like to contact all the same (i.e. to ask survey questions, for recruitment purposes, etc.).  These may be individuals on voter lists or old member lists, whose support for your organization is unknown.

 

To import a new Outreach list:

  1. Navigate to the Contacts page
  2. Click on the Outreach Lists
  3. Click on Mangae/Upload Lists
  4. Select +Upload Outreach Lists
  5. Upload a compressed .csv file (.ZIP)
  6. Give your Outreach List a title
  7. Specify a delimter ("Comma" is the most common)
  8. Click "Create List"
  9. Map the columns headers in your list to data fields within V3 Platform.  (Note:  You can create custom columns for data that doesn't match to a default field in V3.  These custom columns are Custom String (for text fields), Custom Boolean (for true/false fields), Custom Date (for date fields), Custom Integer (for numerical fields), and Voting History (for voting record fields)
  10. Click "Perform Import"

Once your lists are imported into V3 Platform, mobilize your supporters to reach out through actions like Make Phone Calls or Go Door-to-Door

Micro-Targeted Segments

Segments allow you to slice and dice into your supporter lists to create subsets of supporters based on specific criteria or shared characteristics.  You can use segments to group supporters who have similar involvement interests, who live in the same area, or who have completed similar Actions on your V3 Platform.  You can then target your communication and mobilizations to these supporter with greater accuracy and personalization.

 

To create a supporter segment:

  1. Navigate to the Contacts page
  2. Select the Supporters tab
  3. Click the Manage Segments link
  4. Select "+Add Segment"
  5. Title your new segment
  6. Add sets and conditions based upon the segment you'd like to create.  Your supporters will appear in the segment if some or all of their information matches the conditions selected.
  7. Save Segment.

Once you have organized your supporters into segments, you can mobilize Actions to these segments or send them micro-targeted emails.

Bulk Operations

V3's bulk operation tools allow you to manage multiple supporters at the same time.   Easily add tags to supporters by clicking the corresponding drop-down in the tool bar.  If you need to clean up your database, you the bulk delete tools to delete multiple supporters at once.

How to use Bulk Delete

  1. Check the boxes next to the supporters whom you want to delete.  Or use the button in the top of the page to select all supporters on the page. 
  2. Click "Delete"

How to use Bulk Tagging

  1. Select the supporters whom you want to tag by checking the boxes next to their names.  Or use the checkbox on the top of the page to select all supporters on that page.
  2. Select an existing tag from the "Tag" drop-down, or type in a new tag.
